Recruitment funnel is an important tool in recruitment and other fields, such as marketing and sales. The recruitment funnel allows you to see the hiring process from the beginning of working with a candidate to their acceptance of an offer, with the conversion of candidates from one stage to the next.

Analyzing the funnel helps understand:

  • whether we are looking for the right candidates on the right platforms/channels;

  • the competitive conditions we offer for work;

  • if we are losing interesting candidates and at which stages;

  • how quickly and efficiently the recruiting team and hiring manager work;

  • whether the difficulty of technical interviews/tasks matches the knowledge level of the "ideal" candidate for the position, and much more;

  • and much more.

You can analyze the funnel for the entire hiring period or for a specific period. For example, you can review how certain changes in our search strategy have affected the situation. Therefore, an important aspect of building the funnel for a period is displaying only those candidates who entered the funnel during that period.

It's important not to confuse this report with the "Recruitment Funnel" report, where we analyze the path of candidates who arrived during a specific period, with the "Recruiting efficiency" report, where we can see the total number of interviews, test interviews, and more for a specific period. Remember that these are two different tools for different recruitment needs.

Creating the funnel

You can create or edit the list of hiring stages when creating or editing a job vacancy.

To ensure that the recruiting funnel is built correctly, it is recommended to linearly structure the stages of the job vacancy (from top to bottom in sequence) that the candidate will go through during the selection process for the vacancy.

At any stage of the selection process, a company or candidate may decline, but the reason for the decline itself is not a stage but rather its consequence. Therefore, all reasons for declines should be tracked separately.

Similarly, "Reserve" cannot be considered a stage in a job vacancy because not all candidates may go through this stage.

Recruitment funnel report

You can view this report directly on the job vacancy page - under the "Recruiting funnel" tab, or in the "Statistics" section - under the "Recruiting" tab. In this section, you can select any job vacancy from the filter.

The report provides the ability to:

  • review the funnel for a specific period;

  • review the funnel by recruiters (employees who moved candidates from one stage to another);

  • review the funnel by candidate sourcing channels;

  • view a list of stages with the number of candidates at each stage and conversion rates;

  • view the total number of candidates for the period and statistics on rejections;

  • view candidates who were at various stages and the reasons for rejections;

  • export the history of candidate movements from stage to stage.

In the report, you can also see two types of conversions:

  • Absolute - the ratio of the number of candidates who were at this stage to the total number of candidates who entered the funnel.

  • Relative - the ratio of the number of candidates who were at this stage to the number of candidates from the previous stage. At this stage, you can understand what percentage of candidates were "filtered out" at the previous stage.

You can also export an XLSX table that shows the history of candidate movements from one stage to another. The number of candidates at a particular stage in the file may not correspond to the number of candidates at the same stage in the funnel, as various factors can influence this. For example, candidates may bypass certain stages.

When exporting the history for a specific period, the file will contain information about those candidates who entered the funnel during that period.
