General settings

You can configure both types of sick leave on the "Settings" - "Sick leave" page.

General settings for "Undocumented sick leave" and "Documented sick leave" types are common, but the automation block for accruals is configured separately for each of them.

Options available for configuration:

  • Maximum days for request - the maximum number of days that an employee can specify in one request.

  • Negative balance - an option that allows an employee to request more days than they have available in their balance. After the request is approved, the balance will become negative.

  • Permission to make a request for part-time work day - an option that allows creating a request not for the whole day but for a part of the day (in hours).

  • Mandatory comment on request – an option that prevents an employee from submitting a request without adding a comment.

  • Person in charge by default - setting the list of responsible persons for requests who can leave comments, reactions, etc.

  • Comment visibility for a person in charge - the assigned responsible person will be able to see all comments on the request but only within their assignment.

  • Comment visibility for an employee - the employee who made the request will be able to see comments from all users on their request.

Automatic days accrual mode

"Automatic Days Accrual" mode is the most popular setting mode where the system automatically accrues available days to employees based on the specified number of days, accrual frequency, and personal accrual date.

The personal accrual date is set in the employee's profile under the "Start of automatic absence accrual" field.

When selecting this mode, the following options are available:

Accrual of days for the period - the value that will be accrued to the employee for the worked period: 1, 6, and 12 months (depending on their personal accrual date).

One-time days accrual for a new employee - the value that will be immediately set for the employee when their profile is created in the system.

Reset available days - allows setting the automatic reset date of the vacation days balance on a specified date. Available reset options are every 6 or 12 months from the employee's personal accrual start date.

  • Reset available days - choosing the reset mode. When selecting "Personal", the reset will also occur on the employee's personal accrual date, and when selecting "Yes", there is an option to choose a common reset date for all users.

  • Reset date - the date when the accumulated days will be reset for all employees (available when selecting "Yes" in the previous point).

  • Days transferred to the next year - the value to which the employee's balance will be reset. The balance change occurs only if the employee's balance is higher than the set reset value.

Bonus - another useful feature in the "Automatic Days Accrual" mode allows configuring the automatic accrual of bonus days after a certain period of employment in the company.

By using the accrual of bonus vacation days, you can implement an employee retention program for those who have been with the company for more than 1, 2, and more years.

  • Bonus - activates the ability to accrue bonus days to employees after a set number of months worked. Accrual is performed at the same frequency as specified in the "Accrual period" field.

  • After, months - the number of months from the employee's hire date after which all employees will be eligible for bonus days.

  • Appoint additionally, days - the number of days that will be accrued in addition to the regular accrual.

Bonuses are cumulative in the system if an employee falls under multiple bonus accrual rules.

Limit days mode

In the "Limit Days" mode, all employees will be assigned a unified number of days. This limit will be available for the entire calendar year.

In this mode, manual editing of days (adding/subtracting) for a specific employee will not be available.

There is also an option to set the value "-1" as the day limit, then the employee's absence days will be available "on request".
