New authentication features

For companies with over 50 employees, managing a large number of user accounts is a relevant challenge. The main complexity is associated with the employee onboarding process, during which numerous accounts need to be created in various systems such as Slack, Google Workspace, and others.

The optimal solution is to automate this process, allowing for the creation of all necessary accounts with just one click. Instead of creating and memorizing numerous passwords and spending valuable minutes of work time logging into systems, accessing HURMA will be possible within seconds through Google and Microsoft accounts.

Another important aspect is the implementation of a Single Sign-On (SSO) system, which ensures convenience of access and enhances security. This helps better control access to systems and reduces the likelihood of information loss due to weak passwords or other vulnerabilities in the authentication system. This feature will be particularly useful during offboarding, when it is critically important to promptly revoke access from all systems.

At HURMA, we understand that security is the modern top priority. Therefore, in the December update, Single Sign-On will become available to users. Single Sign-On for Microsoft Active Directory can be enabled with a separate tariff.

The entire system operates thanks to the integration of corporate email with employee profiles in HURMA. If an employee is not yet in the system and you are using SSO, a new profile will automatically be created in HURMA upon login.

Updated OKR section

In HURMA, there is a convenient algorithm for creating, customizing, and setting goals and key results (OKRs) for both individual employees and entire departments. However, with the recent update, it has become even better.

  • Utilize enhanced filters

The new filter allows you to filter goals by authorship, enabling you to quickly find and track goals created by specific employees.

  • Track changes in real-time

Those responsible for implementing and supporting OKRs can now track what, who, and when changes were made in the "Activity" tab. The system also automatically sends notifications to goal authors when they are created, edited, or commented on.

  • Quickly and accurately find parent goals

You no longer need to spend time scrolling through a long list of goals. Now, when creating or editing a parent goal, you can quickly find it by searching by name.

Improved time tracking functionality

Time is a crucial resource, and effective management of it can significantly enhance business productivity and performance. To begin working with team time management and assess employee productivity, you can utilize the time tracker in HURMA. Moreover, it has become even more convenient.

How did the time tracker change in December?

  • Editing and deleting sessions

Managing time tracking has become easier. Now you have full control over your work hours and the ability to edit or delete sessions, whether they are your own or those of other employees, provided you have the necessary access rights.

  • Improvements to the time tracking page in employee profiles

In the time management section within each employee's profile, you can conveniently view worked hours for various periods—per day, week, month, or specify a specific period. This provides more opportunities for analyzing and tracking work hours.

  • Updated session adding form

The process of adding new sessions has now become even more convenient and straightforward. You can quickly input all necessary data and save your time without unnecessary hassle.

GDPR. Collecting consent for candidate data processing

Consent for personal data processing (GDPR) is an essential aspect that makes your recruitment process transparent for both the candidate and legal regulations. To store and process resumes, maintain a talent pool, conduct testing, and security checks, it is necessary to have the candidate's permission.

Particularly attentive to GDPR should be those who hire employees abroad, for example in the EU. Because there, it is not only extremely important for candidates, but also strictly enforced by law. Just think about it: violations of GDPR rules are punishable by a fine of €20,000,000 or 4% of your company's total annual revenue.

However, handling such issues manually, especially when you have a large influx of applications, is a challenging task. Our update will help you streamline this process and track GDPR consent directly in HURMA.

To enable this functionality, go to the system's general settings and click on the "Request permission for processing of candidate's personal data" checkbox.

After activating the feature, you can choose a request template or create a new letter with a link tag to the consent page. This can be done automatically on the HURMA career page or directly in the candidate's profile card.

You can also send requests to the entire candidate list in bulk. This can be done in the shared candidate list.

You will be able to see the current status of consent for personal data processing in the candidate's profile card. The status is automatically updated after the candidate's response, and all events related to GDPR are recorded in the history.

AI Fox. Enhanced duplicate handling

The AI Fox plugin is all about exceptional speed and ease of use. For several years now, it has been helping recruiters scan tens of thousands of candidate profiles in HURMA in less than a minute. However, to effectively utilize time, it is necessary to ensure that you are engaging with new candidates, not with an employee who left last week.

So now you can instantly get information about whether a candidate is already among your current or former employees. Additionally, the plugin automatically checks candidates among the current applicants in HURMA.

When viewing a LinkedIn profile, the AI Fox plugin will automatically check the candidate and provide quick feedback without the need to open the plugin itself. If the candidate already exists in your database, the AI Fox button will turn green.

Other updates in a nutshell:

  • Improved password complexity validation;

  • Added drag-and-drop functionality for the "Resume" block in the candidate card;

  • Extended the limit on resume files to 50MB;

  • Auto-refresh of the Kanban board after making changes to the candidate card via IFrame;

  • Expanded the list of those who can be assigned as managers and HR teams in the "Structure".
