Creating scripts and their visibility to participants

Section «Scripts»

With this "Scripts" section, you can create scripts to automate processes such as onboarding and offboarding, as well as utilize available templates and create your own.

Creating, viewing, and managing scripts by default is available to users with Administrator and HR roles.

Script creation form

To assign a script, navigate to the "Scripts" section and click on "Create script" or "+". This will open the script creation page.

  • For whom - a mandatory field to fill in. You need to select an employee to whom the scenario will be assigned;

  • Script name - a mandatory field to fill in;

  • Apply Template - the ability to select a ready-made template for the scenario;

  • Category - you can specify an existing category or enter your own. For navigation in the list of active scenarios;

"Actions" Block:

  • New step - button to create a new block where actions can be entered, which can be performed in parallel;

  • +Action - button to create a new action.

Actions in one step can be performed in parallel. Actions from the next step will only be assigned after the actions from the previous step are completed.

Visibility of the script to the employee

In the system, you can configure which actions of the script the employee will see. To do this, when adding an action to the script, you can choose whether to invite the employee or not.

If an employee has not been invited to an action, they will not see it and will not receive notifications about it.

If an employee has been invited to an action, it will be available to them in their personal calendar and Google/Outlook calendars (if connected). They will also receive notifications according to their notification settings.

Visibility of the script to the responsible person

After the start of the script , active actions in the script will be assigned to responsible individuals as tasks.

If the next steps of the script have not yet begun (actions of the subsequent steps are not completed), the actions from these steps will not yet be available to the responsible individuals.

They can view their tasks and change their status:

  • on the control panel (tasks with the status "in progress" are displayed).

  • in the calendar (tasks with specified dates of occurrence are displayed);

  • in the "My Profile" section - "My Tasks" tab (all tasks are available).

Once the employee completes a task, it is also marked as completed in the script with the date and time of completion.

If multiple responsible parties are added to a task, it is sufficient for only one responsible party to complete the action.

Visibility of сomments on actions

By default, access to all comments on actions is available to Administrators and HR. However, the system allows granting responsible parties the right to view comments on actions related to employees and/or candidates.

To do this, appropriate permissions can be set in the role for the "Profile" section and the "Candidate's action comments" and "Employee's action comments" items.
